Waitlists
- When camps reach maximum capacity, they move to a waitlist. Waitlists will remain active until one week before their camp start dates.
- Families can register for other available camps while remaining on a waitlist during the same week.
- To join a waitlist, submit all required information at registration. The camp will display a "Waitlisted" status once completed. No payment is required to join a waitlist.
- If a spot opens, families will be contacted by email in the order they joined the waitlist and will have 24 hours to accept the spot and make payment.
Changes
- Changes can be made up to one week (by 9 a.m.) before your camp begins using this Change Request Form.
- A $25 per camper fee applies to each request and will be processed to the card on file.
- Deposits or full payments can be transferred if the total number of registered camps per camper remains the same or increases.
- After May 15, if you switch to a more expensive camp, the difference will be automatically charged to the card on file. If switching to a lower-priced camp, refunds will not be issued for the price difference.
Food/Allergies
- Summer at KEY is nut-restricted, and foods containing nuts are prohibited. Carefully check the labels of the items you send for lunch and snacks.
- Food sharing is not allowed. Although birthdays are special, please refrain from sending food to share in line with our safety protocols.
- All cooking camps use nut-free ingredients, but other food allergies or restrictions cannot be accommodated. Contact the camp office before registering if your child has other dietary concerns.
Weather
- Camps will only be canceled for inclement weather if there is a safety risk or loss of power or water. In the event of thunderstorms, campers will be moved indoors until the storm passes. Less severe weather may also result in outdoor camps moving to an indoor space with modified activities.
- During pick-up, campers with self sign-out permission will remain at camp until the severe weather subsides. Parents/guardians may need to pick them up.
- On days with excessive heat or poor air quality, outdoor activities will be modified or moved indoors, and campers will have more frequent cooling and water breaks.
Conduct
- We are committed to creating a safe and positive environment for all campers and staff. To foster a positive experience, counselors will share behavior expectations at the start of each camp.
- If inappropriate or disruptive behavior arises, appropriate steps will be determined on a case by case basis, beginning with counselor intervention and moving to senior staff as needed.
- If the behavior persists, parents or guardians may be called to pick up the camper. Serious or repeated issues may result in dismissal without a refund or re-enrollment.
Age Requirements & Potty-Training
- In adherence with our licensing, campers must be at least 3 ½ years old prior to the start of their camp week. If the camp office discovers a registered camper does not meet this age requirement, the family will be contacted and the registration will be cancelled.
- Campers must be fully potty-trained. A camper is considered potty-trained if they wear regular underwear (not training pants or pull-ups), manage bathroom needs independently, and practice basic hygiene.
- To support our youngest campers, counselors provide frequent bathroom reminders and scheduled breaks. Their camps will have toilets either in or just outside the classroom.
- Parents/guardians will be notified if a camper has an accident. Repeated accidents may lead to early pick-up or dismissal from the program without refund.
Cell Phones & Smart Watches
- We do not have a “no phone policy”, but we encourage families to have campers leave cell phones and smart watches at home. This allows campers to better focus on the camp activities they are here to enjoy and build relationships with fellow campers. Electronic devices can become a distraction to campers and staff alike.
- If you allow your camper to bring a cell phone, it must remain in their backpack throughout the day. If your camper needs to contact you, they should speak with their counselor to make arrangements.
- If a camper wears a smart watch, the same policy applies. They should refrain from using it to access the internet, text, or make calls during the camp day. If it becomes a disruption, the camper may be asked to put the smart watch away for the day.
